Training + Examination Terms + Conditions
These terms apply to all EXIN courses and EXIN‑related exam services delivered by RAI By Design Ltd, an EXIN Accredited Training Organisation (ATO).
By booking a Class or Exam through us, you agree to the terms below.
1. Bookings
A booking is confirmed once you receive an email confirmation which details the date and times of the Course AND the appropriate payment has been made in full. Bookings are only provisional until paid in full.
EXIN Anywhere Exam Vouchers are included in the price of the mandatory Courses and cannot be issued stand-alone unless purchased as a Retake Voucher.
EXIN Anywhere Exam Vouchers are associated with individuals and issued via their email address upon completion of the Courses.
For corporate clients, a signed proposal, purchase order, or written acceptance may be required.
We reserve the right to decline or reschedule bookings to maintain EXIN quality standards, trainer availability, or minimum participant numbers.
Access to EXIN training materials (“Basic Training Material”) is provided only to registered participants and must not be shared.
2. Payments
Booking for Open Class courses must be paid in full at the time of booking by the individual attending.
Closed Private Cohort bookings will be invoiced and are payable within 14 days of the agreed dates unless otherwise agreed.
EXIN Anywhere Exam Vouchers are bundled into the Course price and cannot be separated.
Late payment may delay access to training materials, exam registration, or candidate accounts or result in Course Bookings being cancelled or rescheduled.
3. Cancellations & Refunds
Client‑initiated cancellations
More than 14 days before the session: full refund or credit note.
7–14 days before the session: 50% refund or credit note.
Less than 7 days: no refund, but you may transfer your place to another participant at no cost.
Provider‑initiated cancellations
If we must cancel due to trainer illness, low enrolment, or other operational reasons, you will be offered:
a new date, or
a full refund of the training fee
As all sessions are delivered virtually, we are not responsible for additional costs such as travel or accommodation.
4. Rescheduling
You may request to reschedule once without charge if submitted at least 7 days before the session.
Rescheduling within 7 days may incur an administrative fee.
Corporate clients may reschedule group sessions with 14 days’ notice.
Rescheduling exam slots is subject to EXIN’s rules and may require a new voucher if deadlines are missed.
5. Expenses (for On‑Site Delivery)
Where in‑person delivery is agreed:
Travel, accommodation, and reasonable subsistence expenses will be charged at cost for the EXIN-Approved Trainer hosting the Course.
Mileage is charged at HMRC’s standard rate.
Venue, equipment, and catering costs are the responsibility of the client unless otherwise agreed.
6. Exam Vouchers (EXIN)
Exam vouchers are issued only after full payment is received and Course Certificates have been issued post-event.
Once generated, vouchers are non‑refundable and non‑transferable, in line with EXIN policy.
Voucher validity periods are set by EXIN and cannot be extended by us.
Candidates are responsible for booking their exam slot using EXIN’s instructions. BEFORE booking a Video-Proctored exam, check your computer requirements are suitable and meet EXIN’s requirements
If a candidate misses their exam slot, arrives late, or fails to meet technical requirements, a new voucher may be required at the candidate’s cost.
Additional EXIN Anywhere Exam Vouchers cost £300 each excluding VAT per Voucher.
7. Exam Requirements (EXIN)
Candidates must comply with EXIN’s exam rules, including:
Providing valid, government‑issued identification
Meeting all technical requirements for remote proctoring (camera, microphone, stable internet, quiet environment).
Following proctor instructions and security checks
Ensuring the exam environment meets EXIN’s integrity standards.

Failure to comply may result in exam termination without refund.
8. Additional Needs & Reasonable Adjustments
We support candidates with additional needs in line with EXIN’s Reasonable Adjustments Policy.
Requests must be submitted at least 14 days before the exam booking, ideally mentioned at the time of Booking
Supporting documentation may be required (e.g., medical evidence).
Adjustments must be approved by EXIN before the exam date.
We will work with you to ensure an inclusive learning experience.
9. Use of Training Materials
EXIN training materials (“Basic Training Material”) are licensed for personal study only.
Materials may not be copied, shared, reproduced, or distributed.
Our own proprietary frameworks, templates, and resources remain the intellectual property of RAI By Design Limited.
10. Candidate Responsibilities
Candidates are responsible for:
Ensuring they meet the prerequisites for the course or exam
Booking their exam within the voucher validity period
Checking technical requirements for remote exams
Arriving on time for training and exam sessions
Maintaining academic integrity and complying with EXIN exam rules
11. Indemnity
You agree to indemnify and hold us harmless against any claims, losses, or damages arising from:
misuse of training materials
breach of EXIN exam rules
failure to follow instructions or meet technical requirements
actions taken based on training content without appropriate professional advice
breach of these terms by you or your organisation
Our liability is limited to the fees paid for the specific service.
12. Changes to Services
We may update course content, delivery formats, or exam processes to reflect:
EXIN policy updates
certification changes
regulatory developments
best practice improvements
